Description:
Amherst College invites applications for the Donor Relations Assistant position. The Donor Relations Assistant is a full time, year round position, job group and level AO-3. Under the direction and guidance of the Director of Donor Relations, the Donor Relations Assistant will perform a variety of administrative tasks, including department communication, records maintenance, event coordination, and general office functions. The individual will play a significant role maximizing the consolidated efforts of Donor Relations and Advancement to thank, steward, and recognize our constituents and donors; and as such, will serve as a highly valued member. Takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Key Responsibilities

Administrative Support
• Support the Director of Donor Relations and other members of the Donor Relations team (Assistant Director and Manager); coordinate logistics and prepare materials for meetings and visits with donors; and other administrative duties as directed
• Serve as a reliable intake point for all internal requests to the Donor Relations department and track progress; provide exemplary customer service in contact with College donors and donor prospects, faculty, administrators, staff and students
• Track budget expenditures for Donor Relations department

Records/Reporting Support
• Run standard reports via ARI, Excel, and Access
• Request updated donor information from internal partners and coordinate work with research team to seamlessly provide comprehensive information on prospects
• Understanding how gifts are processed, expedite requests and inquiries from College staff and faculty, trustees, alumni, parents, friends and key volunteers. Escalate requests and issues as needed
• Proactively create, manage and maintain records in Advancement database, electronic files, computer storage drives, as well as online drives and project management applications

Program/Project Support
• Maintain close knowledge and understanding of top donors and prospects in order to provide information as it relates to the department's stewardship and engagement priorities
• Assist in assembly and mailing of stewardship report mailings and invitations to donor recognition events, as well as special acknowledgments, recognition courtesies, and other communications
• Provide support for donor relations events, including taking notes at planning meetings, tracking RSVPs, preparing materials, producing nametags, and sending follow-up communications
• Provide administrative and organizational support for various projects as assigned
Requirements:
QUALIFICATIONS

Required
• High School Diploma or equivalent
• One to three years of professional experience in an administrative support role
• Excellent organizational and time management skills, with a capacity to thrive in a fast-paced environment
• Demonstrated ability to work independently and prioritize work efficiently and effectively under deadlines
• Excellent customer service, verbal and written communication and interpersonal skills, with the ability to promote and maintain good relations, especially in talking on the telephone with donors regarding their record of giving
• Strong attention to detail and accuracy
• Excellent skills in MS Outlook, Word, Excel, and web-based interfaces. Ability to learn new software programs, such as InDesign
• Experience entering and maintaining data in a relational database
• Comfortable operating and troubleshooting computers and peripherals, multifunction devices, projectors and other standard office equipment
• Commitment to or experience working with a diverse community

Preferred
• Bachelor's Degree
• Administrative experience working in a fundraising environment
• Knowledge of Ellucian Colleague (Datatel)
• Experience, training and/or background in higher education
