Description:
Hampshire College, an independent, innovative liberal arts institution and member of the Five College consortium, is accepting applications for an administrative assistant to support the offices of the president and communications.

Reporting to the president’s chief of staff, the administrative assistant provides budget management such as invoicing, reconciling, and monitoring expenditures, as well as taking an active role in planning and developing yearly budgets. Additionally, project management duties specifically for the communications office will include project management: logging communications requests, tracking progress against deadlines, customer service (so customers/colleagues are informed of the status of their requests and prompted to fulfill their obligations on schedule), and analyzing the volume and scope of the work regularly in partnership with the chief creative officer. The administrative assistant has responsibility for the chief creative officer’s calendar.

An associate degree with a minimum of two years of job-related experience, or an equivalent combination of education and experience, is required. Qualified candidates must possess outstanding oral and written communication skills, organizational skills, and have the ability to manage multiple priorities. Duties require general office skills; proficiency in computer systems including MS Word/Excel and Zimbra; and capacity to master budgeting systems used to generate reimbursements and purchase orders, and process invoices, budget transfers, and grant agreements for students and faculty. Candidate should possess administrative support knowledge, customer service orientation, and accounting principles. The administrative assistant must be able to act and determine direction in ambiguous situations, discern situations that necessitate confidentiality and maintain their confidentiality, and interact professionally with diverse constituencies.
