Administrative Assistant

JOB SUMMARY: This position will provide operational support to the Agency.

AUTHORITY: This position reports to and is supervised by the assigned Program Director.

REQUIREMENTS: High comfort level with learning new software and databases. Working knowledge of Microsoft Office programs. Must be
detail oriented with strong organizational skills. Independent
functioning, initiative, research skills, and the follow through
required to complete projects.


PRIMARY FUNCTIONS AND RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

I. Maintains administrative functions as related to the work of the Agency.

A. Responsible for the completion of clerical work using best judgment in prioritizing work with tact, discretion and confidentiality while dealing with staff and members of the public. Provides operational support to administrative staff by completing tasks in an efficient and timely manner (i.e. correspondence, scheduling, filing, data entry, copying, and mailings).

B. Purchases agency office and program supplies from pre-approved vendors. Researches prices to maximize agency funds. Obtains bids as needed. Maintains supplies closet and mail/copy center.

C. Processes Title III subgrantee billings in database and verifies account balances.

E. Complete special projects which require independent functioning, initiative, research, and follow through. These include but are not limited to basic internal analysis, statistical reporting, and procedural and regulatory updates.

F. Provides Reception area coverage as needed.

II. Additional Job Requirements

A. Participates in training and development activities to increase knowledge/ skills leading to strong performance in this position.

B. Attends applicable staff and/or agency meetings and records minutes.

C. Participates in required quality performance initiatives.

D. Other tasks as assigned by your supervisor to meet agency needs.

III. Environmental Conditions – work is 90% indoor work; 10% outdoor (i.e. travel to attend meetings, events, errands and trainings).

IV. Physical Requirements

A. While performing duties of position, employee will be required to sit/stand
for extended periods.

B. Working knowledge of computers, applicable software and databases and
capacity to see computer screen and read written material.

C. Capacity to communicate verbally with staff, supervisors, consumers and
community.

D. Capacity for the fine manipulation with use of office equipment.

E. Capacity for reaching, bending, and lifting up to 25 lbs.

V. Work Environment Expectations

A. Available to work an hourly position Monday to Friday, 9:00 am to 5:00 pm.

B. Ability to drive own vehicle as the position requires. Mileage reimbursement is available.
