Description:
AUTHORITY: This position reports to and is supervised by the Office Systems Manager.

REQUIREMENTS: Comfortable learning new software and databases. Working knowledge of Microsoft Office programs. Must be detail oriented with strong organizational skills. Independent functioning, initiative, research skills, and the follow through required to complete projects. Ability to maintain confidentiality. Must be able to sit for long periods of time at a computer. Ability to pass a CORI check

DUTIES AND RESPONSIBILITIES:

I. Reception/Office Support Functions:
A. Answer telephone in a professional and courteous manner, expediting calls and messages efficiently and effectively.
B. Date stamp and distribute incoming mail.
C. Record incoming checks on appropriate sheets.
D. Prepare and stamp outgoing mail and deliver to mailboxes.
E. Monitor postage meter, keeping balance above $200, initiating request for payments when necessary and printing monthly postage report.
F. Process incoming and outgoing faxes, preparing cover sheets when necessary and forwarding incoming faxes appropriately.
G. Complete mail requests, copy jobs and CM and I&R logs.
H. Monitor general agency email box and forward email appropriately.
I. Update procedures as necessary.
J. Assist in maintenance of Resources database.

II. Additional Job Requirements
A. Coordinate with other Internal Operations staff on tasks and assignments, as appropriate.
B. Participate in training and development activities to increase knowledge/skills leading to strong performance in this position.
C. Attend applicable staff and/or Agency meetings.
D. Participate in required quality performance initiatives within program area.
E. Perform other tasks assigned by supervisor to meet agency needs.

III. 5. Physical Requirements
A. While performing duties of position, employee will be required to sit/stand for extended periods.
B. Working knowledge of computers, applicable software and databases and capacity to see computer screen and read written material.
C. Capacity to communicate verbally with staff, supervisors, consumers and community.
D. Capacity for the fine manipulation with use of office equipment.
E. Capacity for occasional reaching, lifting or bending.
F. Capacity to hear on the telephone with no relay interchange.

IV. Work Environment Expectations
A. Work is 90% indoor work; 10% outdoor (i.e. travel to attend facilities, meetings, presentations and trainings).
B. Available to work an hourly position with primary hours daily M-F, 9am-5pm.
$15/hr.
C. Ability to drive own vehicle as the position requires.
