Description:
The Database Assistant provides administrative support to CRS by assisting with data entry and management. This position provides organization-wide support by working with SalesForce, Google Analytics, and HubSpot. The Database Assistant’s primary functions are to enter data in a variety of forms that are exported from these database systems and to manage the data. In addition, the Database Assistant is assigned administrative tasks to keep the databases secured, accurate and running smoothly.

PRIMARY DUTIES & RESPONSIBILITIES INCLUDE:

Enter and Manage Data
• Accurately enter data in the database systems
• Accurately export data from the database systems into files organized in usable formats to support marketing and communications projects
• Design, create, and manage online surveys for all departments, at the request of Director team members.
• Gather data from external sources and put into a workflow to be used for CRS’s planning
• Manage the analytics within the database systems in a spreadsheet for each project taking place
• Update data based on a set schedule or at the request of a user
• Maintain data integrity while working within the database systems
• Assist personnel with database access by performing database-related tasks for CRS’s employees and providing guidance on how to access specific data

Conduct Quality Control Procedures and Prepare Reports and Documentation
• Examine data for errors related to formatting, locate and eliminate duplicate entries, and resolve access issues
• Verify information and update the database to reflect recent changes with accuracy and relevancy
• Prepare routine documents, forms, correspondence, special tasks, mailing lists and analytical reports with existing data
• Use database software with other office software applications to prepare necessary and requested documents

Provide General Administrative Support
• Provide general or clerical support to employees in the Marketing and Communications department in keeping timelines and gathering information for a project
• Assist M & C Coordinator with preparing shipments for external conferences and providing support for virtual conferences
Requirements:
• High School diploma required and 3-5 years experience in clerical and database entry
• Strong communication and writing skills
• Proficiency with Microsoft Office, Google analytics, and Google productivity software
• Able to learn HubSpot, SalesForce, and other CRM software
• Highly accountable for performance; goal oriented and flexible
• Familiar with data entry processes and understand best practices
• High level of attention to detail and verifying data accurately
• Excellent at working with teams and coordinating activities with organizational needs
• Excellent time management skills
