Overview

Would you relish working in a position that combines spending some of your days outside and active in nature while, on other days, spending time focused on spreadsheets and writing projects?  Do you have the skillset it takes to support the organizational side of adaptive recreation programming as a member of a small team, including data collection, writing grant proposals and reports, and meeting with program partners?  Do you already know— or have you always wanted to learn—how to back up a trailer, swap bike pedals, tie a barrel knot, and adapt outdoor activities to make them accessible to all?

All Out Adventures is growing and seeking a Grants and Contracts Manager to join our team.  This person will be passionate about being outdoors, committed to the full inclusion of people with disabilities in outdoor recreation, and eager to use their relationship-building and communication skills to benefit the organization.

All Out Adventures is a nonprofit organization based in Northampton, MA that promotes health, community, and independence for veterans, seniors, and people with disabilities and their loved ones.  Founded in 2001, we currently offer about 230 outdoor recreation programs each year throughout Massachusetts, serving more than 3,700 program participants of all ages and abilities, including those with physical, intellectual, and psychiatric-related disabilities.  We also offer adaptive equipment rentals and recumbent trike sales and service.

In close partnership with our Executive Director and Program Director, our new Grants and Contracts Manager will oversee the implementation of our organization’s existing grants and contracts and associated programs, as well as identify and pursue new opportunities.  This will be a dynamic and varied role where we anticipate that 45% of the time will be spent on the administrative side of grants and contracts management, 40% of the time will be spent at programs, and 15% on targeted outreach, with a specific emphasis on veterans and people living with acquired or traumatic brain injuries.

At All Out Adventures we are creative hard workers who figure out how to say “YES!” whenever possible.  We work some long days outdoors in cold and heat. We work a bunch of Saturdays and once in a while on a SundayOccasionally we have early mornings and long drives to program locations.   

We see, on a near-daily basis, the positive impact of our work through the joy, progress, and meaningful experiences of our program participants.  We care deeply about our relationships with each other, our program participants, and our community, and we are committed to running our programs and working on behalf of the organization to a high standard.

Key Responsibilities

  • Grants and Contracts Management:
    • Oversee existing grants and contracts, including data collection, timely and accurate submission of reports and reimbursement requests, and targeted outreach.
    • Manage relationships with grant-making foundations and officers from our government contracts, including regular and proactive communication.
    • Track spending to ensure expenses align with our agreements and project budgets.
    • Use our existing grants submission calendar and build upon previous proposals to re-apply for funding that requires annual renewal. Manage all aspects of applications and reporting to ensure deadlines and requirements are met.
    • In close partnership with the Executive Director and Program Director, identify and pursue new grant and contract opportunities that are aligned with our organization’s priorities and goals.
  • Programming and Outreach:
    • Provide leadership to program staff and volunteers at an average of two programs weekly.
    • Ensure programs are being run in accordance with the organization’s protocols and in alignment with our grant and contract agreements.
    • Network with our program participants and invite them to participate in other programs, events, and opportunities that would support their further inclusion in the community.
    • Navigate the local human services landscape, with an emphasis on services for veterans and people living with brain injuries, to invite and support the participation of those who could benefit from our programs.
  • Additional Duties:
    • Support our recumbent trike shop and rental program.
    • Assist with special events and other organizational needs.

Work Schedule

All Out Adventures operates on a primarily Tuesday through Saturday schedule from January through OctoberWe set our schedules seasonally and well in advance.  This position will require working two to three Saturdays per month much of the year with the option to maintain a Monday through Friday schedule in November and December.  Very occasional evenings and Sundays for special events and initiatives.

Qualifications

  • 5+ years of experience working in a nonprofit or related field in a position of responsibility, including mentoring, coaching, training, teaching, facilitating, or supervising.
  • Ability to communicate complex information in writing for varied audiences
  • Financial skills for tracking grant and contract spending, invoices, and reimbursements.
  • Proficiency with Google Suite and solid computer skills for navigating both our database and funders’ reporting and submission systems.
  • Self-driven work ethic with excellent problem-solving abilities and a demonstrated capacity for both independent and collaborative work.
  • Understanding and appreciation for the unique needs, challenges, and opportunities of working with a small nonprofit organization.
  • Valid Massachusetts driver’s license with a clean driving record.
  • Ability to obtain and maintain First Aid and CPR certifications; additional relevant certifications or licenses (veteran or disability specific, medical, outdoor leadership, etc.) are highly desirable.
  • Personal or professional experience with disability and/or veterans highly desirable.
  • Personal experience and love of outdoor recreation and commitment to inclusion.

Physical Requirements

  • Ability to work outdoors for long days in varying weather conditions, including rain, snow, sun, and temperatures that can range from a wind chill of 10 degrees to a heat index of 100.
  • Ability to work at a computer for extended periods and navigate through documents, spreadsheets, and funders’ submission and reporting systems.
  • Ability to drive up to 2.5 hours each way to programs in the organization’s vehicles.
  • Ability to participate in and support program operations such as adjusting adaptive cycles, assisting people into kayaks or canoes, etc.
